1. Who we are
SimpliQualify ("we", "us", "our") is operated by Parag Kandekar(SM Mentors) (the "Seller"), acting as the data controller of personal data processed in connection with the SimpliQualify service. Contact: support@simpliqualify.com.
2. Personal data we collect
- Account data: name, email, hashed password, workspace/tenant name.
- Service content: documents, URLs, FAQs, demo videos, and chatbot configuration you upload.
- Conversation data: end-user chats, leads, sentiment, and engagement signals.
- Usage & telemetry: device identifiers, IP address, browser type, pages visited, product events.
- Support data: messages you send us.
3. Purposes and legal bases
- Provide the service (contract): authentication, hosting your knowledge base, running the chatbot, scheduling meetings.
- Billing and order processing (contract / legal obligation): handled by our Merchant of Record, Paddle.
- Security and fraud prevention (legitimate interests): abuse detection, rate limiting, audit logs.
- Product improvement and analytics (legitimate interests): aggregated usage analytics.
- Customer support (legitimate interests / contract).
- Marketing (consent, where required): only when you opt in.
4. Sharing of personal data
- Subprocessors who host and run the service (cloud hosting, database, AI model providers, email delivery, analytics).
- Paddle.com Market Ltd ("Paddle"), our Merchant of Record, for sale, subscription management, payments, tax compliance, refunds, and invoicing. Paddle's privacy policy: paddle.com/legal/privacy.
- Professional advisers (legal, accounting) where reasonably required.
- Authorities where required by law or to protect our rights.
5. International transfers
Where personal data is transferred outside your country of residence, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.
6. Data retention
We retain personal data only for as long as needed to provide the service and for legitimate business or legal purposes. Account and content data are deleted or anonymised within a reasonable period after account closure. Billing records retained by Paddle follow Paddle's retention schedule for tax and accounting compliance.
7. Your rights
Depending on your jurisdiction, you may have rights to access, rectify, erase, restrict, or port your personal data, object to processing, withdraw consent, and lodge a complaint with your data protection authority. To exercise these rights, email support@simpliqualify.com. We aim to respond within one month.
8. Security
We use appropriate technical and organisational measures, including encryption in transit, access controls, row-level security in our database, and audit logging.
9. Cookies
We use strictly necessary cookies for authentication and limited analytics cookies (such as Microsoft Clarity) to understand product usage. Manage cookie preferences in your browser. We do not use advertising cookies.

We may update this notice from time to time. Material changes will be notified through the service or by email.
